About the Role
Our client, a leading company within the aviation industry, is seeking a highly organised, reliable and detail-oriented Admin Assistant with experience in Aviation Operations to join their team in Johannesburg.
The successful candidate will provide administrative and operational support to the aviation team, ensuring that day-to-day activities are coordinated efficiently and that operational records, documentation and communication are maintained to a high standard.

Key Responsibilities
- Provide general administrative and operational support to the operations team.
- Assist with the coordination of daily aviation activities and operational requirements.
- Maintain accurate and up-to-date operational records, databases and filing systems.
- Prepare, process and maintain aviation-related documentation and reports.
- Assist with the coordination of flight schedules, crew information and operational requirements where applicable.
- Communicate with pilots, crew members, clients, suppliers and other relevant stakeholders.
- Assist with tracking and maintaining records relating to aircraft, crew, licences, certificates and other operational documentation.
- Monitor documentation expiry dates and assist with ensuring that required records remain current.
- Assist with travel, accommodation and logistical arrangements for operational personnel when required.
- Capture and maintain information accurately on internal systems.
- Assist with preparing reports, correspondence, spreadsheets and presentations.
- Handle incoming calls, emails and general enquiries professionally.
- Coordinate meetings and maintain calendars where required.
- Assist with invoicing, purchase orders and other administrative processes.
- Maintain confidentiality of company, client, crew and operational information.
- Ensure that all administrative activities are performed in accordance with company procedures and applicable aviation requirements.
- Provide general office and administrative support to management and the operations team.
- Perform any other reasonable administrative or operational duties as required.
Minimum Requirements
- Previous administrative experience within the aviation industry is essential.
- Practical understanding of aviation operations.
- Previous experience working with pilots, flight operations, aircraft or aviation personnel will be highly advantageous.
- Excellent computer literacy, particularly Microsoft Office (Word, Excel and Outlook).
- Strong organisational and administrative skills.
- Excellent written and verbal communication skills.
- High level of attention to detail and accuracy.
- Ability to manage confidential information professionally.
- Ability to prioritise tasks and meet deadlines in a fast-paced environment.
- Ability to work independently as well as part of a team.
- Professional telephone and email etiquette.
- Valid driver's licence and own reliable transport would be advantageous.
